Privacy

How AirDictate handles your recordings, documents, optional AI requests and usage information.

Last updated: 7 November 2026

Draft for publication review. Northbase Ltd still needs to confirm a direct contact route for privacy-rights requests and the retention details for server-side records before this notice is final. The Buy Me a Coffee support page is not a confirmed privacy-rights contact.

Who we are

AirDictate is provided by Northbase Ltd. This notice explains the AirDictate macOS app and this website. For questions, use the AirDictate support page. Avoid sending recordings, API keys or sensitive documents in a support message.

Your recordings and documents

Local Parakeet dictation processes speech on your Mac. Recordings, transcription history, notes, meeting files and settings are stored on your device. You control the files you import, export and delete. Audio retention follows your storage settings; exported copies and your own backups remain under your control.

AirDictate needs microphone access to record and may need Accessibility permission to insert text into another app. You can manage these permissions in macOS System Settings. Text you paste or export is then handled by the destination app.

Optional cloud AI

When you configure and use OpenAI features, AirDictate sends the material needed for the request directly to OpenAI using your API key. Meeting preparation and the assistant can include your prompt, relevant document excerpts, the current discussion point, private working notes, recent chat and completed recording transcript excerpts. Local recording does not itself require sending audio to OpenAI.

Check that you have permission to share other people's information before using these features. OpenAI processes requests under its API terms and your account settings; see its API data controls. Your API key is kept in macOS Keychain. If iCloud Keychain synchronisation is enabled in AirDictate, Apple can sync the provider credentials between your Apple devices. You can change that setting.

Optional installation and usage statistics

Where reporting is enabled, AirDictate sends a randomly generated installation identifier, app version, a generic macOS label, and aggregate word and recording counts to our app management service. A batch identifier prevents duplicate usage counts. These reports help us understand installation and usage totals.

The installation identifier lets reports from the same installation be counted together; it is not a hardware identifier. The reporting payload contains no audio, transcript text, document contents, API keys, computer name, MAC address or location. The service does not use these reports for advertising or cross-site tracking.

You can stop future reports in Settings → Privacy & Storage → Send Anonymous Stats. The existing stats preference defaults to enabled. Turning it off does not remove previously received totals and does not restrict app features. The app keeps its random identifier locally so it can recognise the installation if reporting is enabled again.

This website and external services

This static website has no advertising trackers, analytics scripts, embedded payment forms, remote fonts or site-set cookies. Your browser still sends normal connection information, including an IP address, to the website host when requesting pages and downloads. Hosting and security providers may process request logs to deliver and protect the service.

Our app management infrastructure uses Cloudflare. Its infrastructure may process connection information even though the app's statistics payload does not include it. See Cloudflare's privacy policy. Hosting providers and cloud AI services may process information outside your country.

The Support link opens Buy Me a Coffee. Payments and information entered there are handled by that service and its payment providers, not by a payment form on this website. Northbase Ltd may receive the supporter details or messages that the platform makes available to creators. See Buy Me a Coffee's privacy policy.

Retention, choices and your rights

Local content remains on your device until you delete it or an applicable retention setting removes it. Removing a local file does not remove copies you previously exported or shared with a cloud service. Cloud providers apply their own retention terms and account controls. We use installation and aggregate usage records to understand and maintain the app; switching off reporting stops future submissions.

Depending on the law that applies, you may have rights to access, correct or delete personal information, restrict its use, object to its use, or request a portable copy. A request about server-side information may need enough information to identify the relevant record. We cannot retrieve local recordings from your Mac. You can also raise a concern with the UK Information Commissioner's Office or your local regulator.

Changes

We will update this notice when the app or our handling of information changes. Check the date above and the privacy information provided with your app version.
